01
Who we are
This policy explains how ClearedToCode Inc. ("ClearedToCode", "we", "us"), of Navarre, Florida, United States, collects and uses personal information when you visit clearedtocode.com, create an account, buy or download a product, activate a licence, use our apps, or contact us.
We are responsible for your personal information (the "controller"). For any privacy question or request, e-mail jesse@clearedtocode.com.
02
What we collect
We collect only what we need to run the store, deliver products and support you:
Account details: your e-mail address, display name and password (passwords are handled by our hosting provider and we never see them), plus anything you add to your profile, such as a picture, bio, location, website or Discord name.
Orders: your e-mail address, the products you buy, prices, discounts and codes used, order numbers and payment status. Card and bank details go straight to Stripe or PayPal (or Apple or Google for in-app purchases). We never see or store your full card number.
Licences: your licence key, the product, your e-mail address and an identifier for each computer you activate, with activation dates, so we can check the key and enforce the machine limit.
Support and diagnostics: when you send a report or start a support session from one of our apps, we receive the support code, a computer identifier, the app edition and version, the simulator and aircraft in use, a technical log and, if you enter them, your e-mail address and a note.
AI Crew and voice features: what you say or type to the crew is sent to our AI and speech providers to make the reply. We keep usage totals (calls, tokens, voice seconds and cost) against your licence key to apply limits; we do not keep a transcript of your conversations.
Discord: if you link your Discord account, we store your Discord user ID and username to give you member or beta roles.
Custom build requests and messages: the name, e-mail address, Discord name, device, design details and images you send us, and what you write in live chat or e-mails to us.
Community content: reviews, discussions, replies and uploads you post. These are public on the site.
Technical data: like every website, our hosting provider receives your IP address, browser type and the pages you request, to deliver the site and protect it from abuse.
Analytics, only if you accept: page visits measured by Metricool and a random page-view counter ID kept in your browser. See Cookies below.
03
How we use it, and our legal reasons
We use your information to:
run your account, take payment and deliver what you buy, including licence keys, downloads and updates (to perform our contract with you);
check licences, stop key sharing, fraud, chargeback abuse and piracy, and keep the site secure (our legitimate interest in protecting our business and customers);
answer support requests and fix bugs (contract, and our legitimate interest in working products);
send you e-mails about your orders, licences and account (contract). If we ever send offers, you can stop them at any time;
measure which pages are visited, only with your consent, which you can withdraw at any time;
keep records the law requires, such as tax and accounting records (legal obligation).
We do not sell your personal information, we do not share it for targeted advertising, and we do not make decisions about you by automated means that have legal or similar effects.
04
Who we share it with
We share personal information only with service providers who process it for us under contract, and only what each one needs:
Stripe and PayPal: payments and refunds. Apple App Store and Google Play: in-app purchases in our mobile app.
GitHub: hosting of large download files.
Discord: member roles, notices and support messages in our Discord server.
Anthropic and our speech providers: AI Crew replies and voices.
SayIntentions: only if you choose to connect it to one of our apps.
Metricool: website analytics, only if you accept analytics cookies.
We may also disclose information if the law requires it, to enforce our terms and licences, or to protect our rights, customers or others. If our business is sold or merged, your information may pass to the new owner under this policy.
05
Cookies and similar storage
Essential storage is always on: it keeps you signed in, holds your cart and checkout, remembers your cookie choice, and lets Stripe and PayPal process payments securely (they may set their own cookies for fraud prevention on their payment pages).
Analytics are off until you choose "Accept all": the Metricool tracker and a random page-view counter ID (ctc_vid) stored in your browser. Choosing "Essential only" keeps them off. You can change your choice at any time with the Cookie settings link at the bottom of every page, or below.
06
How long we keep it
Account and profile: until you delete your account or ask us to.
Orders and licences: as long as the licence can be used, and order records for up to 7 years for tax and accounting.
Support reports and sessions: up to 12 months, unless needed longer to fix an open problem.
Messages and custom build requests: up to 3 years after the last contact.
Analytics: as set by Metricool, and page-view counts as anonymous totals.
07
Your choices and rights
Wherever you live, you can ask us to show you, correct or delete the personal information we hold about you, or to send you a copy. E-mail jesse@clearedtocode.com from the address on your account. We reply within 30 days and may need to confirm it is you. We will not treat you differently for using these rights. We keep what the law requires us to keep, such as order records.
If you are in the European Economic Area, the United Kingdom or Switzerland, you also have the right to object to our use of your information based on legitimate interests, to restrict it, to data portability, and to withdraw consent at any time. You can complain to your local data protection authority.
If you live in California or another US state with a consumer privacy law, you have the rights that law gives you, including to know, delete and correct, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those laws define it.
08
Where your information is stored
We are based in the United States and our service providers store data mainly in the United States. If you are outside the United States, your information is transferred there. Where the law requires it, we rely on our providers' standard contractual clauses or similar safeguards for these transfers.
09
Security
We use encrypted connections (HTTPS), signed licence checks, access controls on our database and limits on who can see customer records. No method is perfectly secure, but we work to protect your information and will tell you and the authorities about a breach where the law requires it.
10
Children
Our site and products are not directed at children under 13, and we do not knowingly collect information from them. In the EEA and UK, users under 16 need a parent's permission. If you think a child has given us information, e-mail us and we will delete it.
11
Changes and contact
We may update this policy when our products or the law change. We will post the new version here with a new effective date, and tell account holders about significant changes by e-mail or on the site.
